Event & Regatta Management
Manage a consistent annual event calendar.
Organise certain tasks and attend DBV-sanctioned regattas, corporate and community events such as DBV Awards night, including, where appropriate, arranging for facility hire, competition structure, administration, vendors, volunteer management, equipment management, the inputting of race time results and bump in and bump out of regatta equipment.
Maintain and coordinate the DBV membership management system (Revsport) across the membership base and improve the capability of club representatives to utilise its functionality.
One a monthly basis input the content of the EDM Newsletter to be forwarded to all paddlers.
Ensure arrangements are in place to maintain both the fleet of dragon boats so that they are available for club training and events and the space within the Melbourne City Council Community Hub.
Maintaining Revsport data base ensuring it is accurate and clean.
Organize DBV courses and planning items required for categories of coaching, sweeps and officials.
Act as the support for the current operators of Dragon Boat Victoria’s Social media platforms - including Facebook, Instagram, LinkedIn and Twitter.
Governance and Strategy
Make arrangements for the board meetings, the Annual General Meeting and any other meetings, in consultation with the secretary of the board, and as appropriate, in consultation with board members and attend the board meetings and record the minutes.
Assist the Business Manager with the production of invoices for clubs participating in regattas and follow up any queries.
Follow up accounts receivable and answer any queries re accounts receivable and payable.
Assist the CEO/Operations Manager with maintaining positive relationships with the broad range of stakeholders associated with the sport of dragon boating, both within Victoria and nationally.
Experience in event organisation
Demonstrated experience in office administration
Organisational ability and time management skills
Ability to foster strong internal and external relationships
Proficient IT skills, particularly in the use of Microsoft Office and CRM Systems
National Police / Criminal History Check
Working with Children / Working with Vulnerable People Check
Previous experience in a role within a not-for-profit and/or sporting environment
