Part time Administration Assistant

Job Description

Primary Purpose:

The Central Coast Basketball (CCB) will play a vital role in the continued growth of the organisation and is key to the daily running of the Association. The role will cover all aspects of office administration, customer service and will include database management and reporting.

This is a part-time role generally working from 9am to 3pm, Monday to Friday. Due to the nature of CCB activities, the occasional work outside of these hours will occur. This will be communicated in advance.

This role will have a number of internal and external relationships. These relationships include:

Internal

  • Executive Manager/General Manager
  • CCB Board of Management
  • CCB Staff

External

  • CCB Members
  • Basketball NSW
  • Venue User Groups
  • Associations Sponsors and Suppliers

Position Responsibilities:

  • Provide customer service to Association members, partners and suppliers
  • Act as business hours contact point for members
    • Answer phone, receive and deliver messages
    • Handle inbound and outbound email correspondence
  • Perform all administration tasks involved with running a basketball association including general office admin and clerical tasks
  • Process and distribute orders placed through the web store, including representative team uniforms
  • Provide administration support to the Executive Manager, Competition Manager, Venue Operations Manager and Basketball Operations Manager as needed
  • Organise the filing and shredding of CCB documents, files and archives
  • Assist in the promotion and marketing of CCB and its events where required
  • Manage the Association calendar and staff appointments
  • Proof all official correspondence and promotional materials before distribution

  • Intermediate skills in Microsoft 365 applications

Qualifications & Experience:

Essential

  • Excellent written and oral language skills
  • Time management skills
  • Current and valid Working with Children Check (NSW)
  • Current and valid First Aid Certificate (including CPR)
  • Knowledge and experience of using Microsoft 365 (Outlook, Word, PowerPoint and Excel)

Desirable

  • Knowledge of Xero Accounting Software
  • Knowledge of SportsTG (Basketball Membership and Competition Software)
  • Media and promotion skills
  • Sporting competition administration experience or similar
