This position reports to the Director of Sport and Performance K-12.

Role Purpose and Overview

  • The purpose of the Sport Coordinator is to provide high quality and efficient administration, organisation and operational support to the Sport Department.  The role will be a critical part of the team responsible for the leadership, organisation, planning, preparation and operational management of allocated sport programs which will initially include Tennis, Hockey and AFL.
  • The successful applicant will be allocated sport programs across Years K-12 and coordinate all aspects and administrative functions related to the programs, coaching staff and external suppliers and providers.
  • The role will assist with onboarding, induction and evaluation of seasonal casual sport coaches, planning and team/player review as well as supporting coaches with training and game preparation for respective seasons in allocated sports.
  • There is an expectation that excellent, accurate and timely correspondence and customer service will be provided to a wide range of internal and external stakeholders.
  • This role will be required to work 38 hours per week. Travel to various training and competition venues within the greater Sydney area is required as part of this role.
  • The position contributes to the administrative delivery within the Sport Department and the maintenance of a positive internal culture where service, integrity and humour are valued.

Key Responsibilities:

Sport Coordination

  • Coordination of all aspects of student involvement in co-curricular sport including clear and consistent communication to students, parents, coaching staff.
  • Maintain accurate database and portal pages ensuring all areas of the school are aware of student involvement.
  • Effective collaboration with the Sport leadership team in regard to annual, term and weekly planning to ensure the efficient and accurate timetabling of sporting programs, facilities are safe and prepared for sport, bookings, transportation and similar.
  • Accurate tracking and monitoring of student participation, attendance, injury management, rewards and recognition scheme, dress standards and all documentation and records are accurate and current for allocated sport programs.
  • Coordinating the active participation of students registered for allocated sports and the delivery of selection trials, training, competition entries, weekly and season game reports, player and coach evaluations.
  • In conjunction with the Coach Development Coordinator, development of individual sport coaching manuals for each allocated sport. The manuals will include basic information on the game, style of play, game strategies, warm-up information, coaching points of each skill and progression drills and activities to suit the players’ ability.
  • In collaboration with the Sport leadership team, ensure appropriately qualified and accredited coaches are recruited and allocated to each team, helping to nurture a positive learning environment that is fun and encourages students to continue to play and learn in a variety of sports.
  • Assisting in the organisation of Sport Awards, Sport Tours and School Carnivals and independently coordinate smaller sporting events and activities, as required.
  • Recording monitoring and tracking of inventory of all School sporting equipment, coach and student sport uniforms as required for allocated sports.


  • Liaise with the Director of Sport and Performance/Head of Sport regarding any dissemination of important information, responding to enquiries and professionally managing any student or parent concerns.
  • Adhere to all process and procedural requirements of the school and sport program, supporting team coaches when required to meet the expected standards.
  • Support and adhere to the school’s uniform policy for coaches and students.
  • Present a professional, punctual, dedicated, inclusive attitude and demeanour at all times.
  • Operate as a collaborative, team orientated person within a professional working environment while possessing the capacity to work proactively and unsupervised.
  • Undertake any other duties as directed by the Director of Sport and Performance/Head of Sport.

Qualifications and Experience

  • Qualifications in Sport Management/Administration/Human Movement/Exercise Physiology or similar.
  • Minimum of 5 years relevant experience in Sport, event/project/competition management and coordination; in an educational environment is desirable; in the sport of tennis or Hockey also desirable.
  • Level 2 Coaching Qualification and/or coaching experience in community to pre-elite level is highly desirable.
  • Knowledge and practical implementation experience of current and developing trends in youth sport (i.e. new training techniques and technologies).
  • Current NSW Working with Children Check.
  • Current First Aid and CPR certification.

Knowledge and Skills

  • Demonstrated general sport knowledge and understanding of the demands on young athletes and coaches at a local community to elite level.
  • Demonstrated knowledge and skills of exceptional customer service and communication.
  • Excellent administration and IT skills demonstrated across MS Office, website, online portal, database and competition software systems.
  • Demonstrated management and leadership skills.
  • High level of accuracy, attention to detail and ability to manage multiple projects and competing deadlines.
  • Demonstrated skill in forming effective working relationships and working with a range of groups and individuals.
  • Ability to maintain personal control and quality standards when faced with long hours of work and changing demands.
  • Understanding of risk management, child protection and safe sporting practices.

General Conditions of the Role

  • Award: Educational Services (Schools) General Staff Award 2020
  • Classification: Sports Coordinator Level 5 Instructional Services Grade 4
  • Hours of work: Working an average of 38 hours per week. The daily hours will be negotiated with the Director of Sport and Performance, depending on the needs of the students and the School.
  • Annual Leave: All annual leave should be taken during non-term time.
